Writing Studio Ltd (trading as “Writing Studio,” “we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our website and app at writingstudio.com and app.writingstudio.com (the “Service”).

1. Information we collect
Account information. When you create an account, our authentication provider, Clerk, collects your email address and, if you sign in with Google, basic profile information from your Google account.
Your documents and content. Depending on how you use the Service, your drafts and documents may be stored locally in your browser, in your account, or both. Documents saved to your account are stored in a database operated by Neon, and files you upload, such as PDFs and images, are stored with Vercel. When you use an AI feature (autocomplete, edit, chat, or review), the text that feature needs, up to your whole document, is sent to our AI provider to generate a response, or to your own AI provider if you add your own key.
Usage data. We track how many AI requests you make against your plan’s usage limits. We may also collect basic technical information, such as browser type and general usage patterns, to maintain and improve the Service.
Billing information. If you subscribe to a paid plan, payments are handled directly by Stripe. We do not receive or store your full card number.

We do not sell your personal information or your documents, and we do not use your documents to train AI models.
3. How we share information
We share information only with the service providers necessary to operate Writing Studio, including:
Anthropic: processes the document content an AI feature needs, up to your whole document, to generate AI suggestions, edits, chat responses, and reviews.
Clerk: manages account authentication and sign-in.
Neon: stores your documents and account data.
Stripe: processes subscription payments.
Vercel: hosts the Service and stores files you upload.
Resend: sends emails about invites, access requests, and comments, including the recipient’s email address, the document title, and the comment.
Upstash: keeps usage counts for your account and short-lived caches of citation searches and checks, for up to 40 days.
Research databases (OpenAlex, Crossref, PubMed, Europe PMC, arXiv, and Firecrawl): receive the sentence you are citing or what you search for, sent from our servers without your name or account.
Book and web lookups (Open Library, Google Books, the Internet Archive, and the site you link to): receive the ISBN, title, or link you add so we can fill in a source’s details.
Your own AI provider (OpenAI, Google, xAI, or Anthropic): if you add your own API key, receives the same text an AI feature would otherwise send to Anthropic.
These providers only receive the information necessary to perform their function and are not permitted to use it for unrelated purposes. We may also disclose information if required by law, or to protect the rights, safety, or property of Writing Studio or others, or as part of a merger, acquisition, or sale of assets, in which case we will notify you before your information becomes subject to a different privacy policy.
4. Cookies and analytics
We use cookies and similar technologies on writingstudio.com. Some are necessary for the site to function, including remembering your cookie preferences. We also use Google Analytics (GA4) and Framer Analytics to understand how visitors use the site in aggregate, such as which pages are viewed and general traffic patterns. We do not use cookies for advertising or ad targeting.
Analytics cookies are only set if you accept them. You can accept or reject non-essential cookies when you first visit, and change your choice at any time from our Cookie Policy page.
Our site also loads fonts from Google Fonts, which means Google may receive your IP address as part of that request.

5. Local storage
Some of Your Content and preferences may be stored locally in your browser rather than on our servers. This data stays on your device and is not visible to us unless you explicitly submit it through an AI feature or account sync.
6. Data retention
We retain account information for as long as your account remains active, and for a reasonable period afterward for record-keeping and legal compliance. You can delete your account at any time from Settings in the app. This deletes your documents, version history, library, chats, profile and uploaded files, and closes your account. You can also request deletion of your account and associated data by contacting us.
7. Your rights
Depending on your location, you may have rights under applicable data protection law, including the New Zealand Privacy Act 2020, the California Consumer Privacy Act (CCPA) if you are a California resident, and, where applicable, the EU General Data Protection Regulation (GDPR). These rights may include the ability to access, correct, or delete your personal information, or to object to or restrict certain processing. To exercise these rights, contact us using the details below. We will respond within a reasonable timeframe and in accordance with applicable law. You may also lodge a complaint with the New Zealand Office of the Privacy Commissioner, or the relevant data protection authority in your own location, if you believe we haven’t handled your personal information in accordance with applicable law.
8. Children’s privacy
The Service is not directed at children under 16, and we do not knowingly collect personal information from children under 16.
9. International data transfers
We and our service providers may process and store information in countries other than your own, including the United States. Where this occurs, we take reasonable steps to ensure your information continues to be protected in accordance with this policy.
10. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by an updated “Last updated” date above.
