Writing Studio Ltd (trading as "Writing Studio," "we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit writingstudio.com, contact us, or engage our content review, editing, and content creation services.

1. Who we are

Writing Studio is a content review service. We pair client content in health, finance, legal, and other regulated or high-scrutiny categories with credentialed subject matter experts, including licensed doctors, attorneys, and financial professionals, who review, edit, fact-check, and sign off on it. For select clients, we also create new content, which goes through the same expert review and sign-off process before delivery.

2. Information we collect

Personal data you provide directly. When you contact us, request a quote, or engage our services, we may collect your name, email address, company name, phone number, and any information you include in a message to us.

Client content. When you engage us for a review or content creation engagement, you provide the content itself, or the background information needed to create it, so that we and the Expert Reviewer selected for your project can work on it.

Reviewer data. For individuals who join our reviewer network, we collect professional credentials, licensure information, specialty and practice history, and a professional bio for publication alongside content they review and sign off on. By joining our reviewer network, a reviewer consents to this publication; the full terms governing reviewer participation are set out in our Terms of Service.

Information collected automatically. Like most websites, our site may automatically collect certain information when you visit, including your IP address, browser type, device information, pages viewed, and the date and time of your visit. We collect this through Google Analytics.

3. How we use your information

We use the information we collect to:

  • Respond to inquiries and provide quotes for our services

  • Deliver content review, editing, and content creation services

  • Select an appropriately credentialed Expert Reviewer for your content, taking into account any specialty, credential, or location preferences you share with us

  • Communicate with you about an active or prospective engagement

  • Manage billing and invoicing for services rendered

  • Maintain and improve our website and services

  • Comply with legal obligations

We do not use client content, or your personal data, for any purpose beyond the engagement it was submitted for, and we do not use either to train any artificial intelligence model, public or private. We may use AI tools internally to support our own operations, such as research or administrative work, but AI does not replace the human Expert Reviewer who reviews, edits, and signs off on your content.

4. How we share information

We do not sell, rent, or trade your personal data or client content to third parties.

We may share information in the following limited circumstances:

  • With your Expert Reviewer. The reviewer assigned to your project sees only the content relevant to that project, for the purpose of completing the review.

  • With service providers. We may use third-party providers for functions like website hosting, email delivery, analytics (Google Analytics), payment processing, or AI-assisted research and editing support. These providers are only given the information necessary to perform their function, and are not permitted to use it for any other purpose, including training their own models on your data.

  • For legal reasons. We may disclose information if required to do so by law, or if we believe in good faith that disclosure is necessary to comply with a legal obligation, protect our rights, or protect the safety of any person.

  • In a business transfer. If Writing Studio is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

5. Confidentiality of client content

Client content and business details are treated as confidential. We are willing to execute a mutual non-disclosure agreement before discussing sensitive content or business information in detail, on request.

6. Data retention

We retain personal data and client content for as long as necessary to fulfil the purposes described in this policy, including the duration of an active engagement and a reasonable period afterward for record-keeping and legal compliance purposes. Client content submitted for review is not retained indefinitely and can be deleted on request once an engagement is complete.

Reviewer credential and bio information is retained for as long as the reviewer remains active in our network, and for a reasonable period afterward for record-keeping. If a reviewer leaves our network, we will remove their bio from future publications on request, though previously published content may continue to reference reviews they already completed.

7. Cookies and analytics

Our website uses Google Analytics to help us understand how visitors use the site and to improve its performance. Google Analytics may collect information such as your IP address, browser type, and the pages you visit. You can control cookies through your browser settings. Disabling cookies may affect some site functionality.

8. Your rights

Depending on your location, you may have rights under applicable data protection law, including the New Zealand Privacy Act 2020, the California Consumer Privacy Act (CCPA) if you are a California resident, and, where applicable, the EU General Data Protection Regulation (GDPR). These rights may include the ability to:

  • Request correction of inaccurate personal data

  • Request deletion of your personal data

  • Object to or restrict certain processing of your personal data

  • Request a copy of your data in a portable format

You may also lodge a complaint with the New Zealand Office of the Privacy Commissioner, or the relevant data protection authority in your own location, if you believe we haven't handled your personal data in accordance with applicable law.

We use reasonable administrative, technical, and physical safeguards to protect the personal data and client content we handle. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a data breach affecting your personal data, we will notify you and any relevant regulator as required by applicable law.

10. Children's privacy

Our services are directed at businesses and professionals, and available only to individuals 18 years of age or older. We do not knowingly collect personal data from individuals under 18. If we become aware that we have inadvertently collected such data, we will take steps to delete it.

11. International data transfers

We work with clients and reviewers in multiple countries, and most of our clients are based in the United States, though we also work internationally. Your information may be processed or stored in a country other than your own. Where this occurs, we take reasonable steps to ensure your data continues to be protected in accordance with this policy.

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "Last updated" date at the top of this page. Continued use of our site or services after a change constitutes acceptance of the updated policy.
